What it’s for

  • Create a professional, branded cover sheet for the compliance pack you hand to a tenant at move-in
  • List all included documents so tenants know what they’ve received
  • Record the landlord’s contact details and the property address on a single front page
  • Demonstrate to tenants and local authorities that compliance obligations have been met
  • Use as the index page for a physical or digital compliance pack

How to use this in TenancyVault

After completing the cover sheet:

  • Upload the cover sheet to your compliance pack in TenancyVault
  • Generate a one-click pack — TenancyVault can automatically bundle all your stored certificates, the cover sheet, and service logs into a single exportable PDF
  • Share digitally with tenants by sending a pack link from TenancyVault
  • Archive per tenancy — store a separate pack for each tenancy so you have a historical record

FAQ

What should a compliance pack include?

The contents vary by nation. All packs should include: Gas Safety Certificate (if gas supply), EICR, EPC, smoke/CO alarm test record, and deposit prescribed information. The tenancy document differs: How to Rent Guide (England), PRT Agreement (Scotland), Written Statement of Occupation Contract (Wales), or Written Statement of Tenancy Terms (Northern Ireland). England packs also include Right to Rent check evidence. TenancyVault generates a pack cover sheet automatically tailored to the property’s nation.

Is a compliance pack legally required?

There is no single law requiring a “compliance pack” as such. However, you are legally required to provide each of the included documents separately. Bundling them into a pack is best practice that helps demonstrate compliance.

Can I send a digital compliance pack?

Yes. A digital pack (PDF) is acceptable provided the tenant has agreed to receive documents electronically. Keep a record of when it was sent and any acknowledgement.

How often should I update the compliance pack?

Update the pack whenever you renew a certificate (e.g. annual gas safety record), at the start of each new tenancy, and whenever you serve updated versions of statutory documents. In England this includes new editions of the How to Rent Guide. TenancyVault tracks which documents have changed and prompts you to re-serve where required.

How does TenancyVault help with compliance packs?

TenancyVault stores all your certificates and service records, and can generate a compliance pack for any property with one click. The pack includes all current documents and a cover sheet automatically.
